Terms and Conditions for hire of the sports field and changing rooms

Multiple-use

1 Any club or organisation that wishes to hire the facilities must sign an agreement with St Audry's Sports & Social Club (to be referred to as SASSC) for a set period of time. The financial terms of that agreement will be agreed in advance of any use. This agreement will be for a maximum of one year and must be renewed annually. Payment is required within 48 hours of any use of the sports field.

2 If the hiring organisation wishes to enter a league or other competition a full list of fixtures must be submitted at least one month in advance. Any difficulties regarding any of these fixtures will be overcome in advance and any changes to these dates must be agreed with the SASSC rep in advance. 

3 SASSC will appoint a representative who will liaise with the hiring body on all matters, including contact with the groundsman in the event of inclement weather or unsuitable playing conditions on the day. 

4 The SASSC groundsman will have the sole right to decide if conditions are fit for play, bearing in mind the need to avoid potential damage for future usage.

5 If any fixture is cancelled due to weather conditions but it is not possible to rearrange there will be no charge.

5 Contact numbers for the SASSC rep and a substitute in the event of his/her absence will be circulated in advance. Contact details for the groundsman will also be provided. This is primarily to ensure close coordination on the day of scheduled matches in the event of inclement weather to try to avoid unnecessary travel.

6 Additional or rearranged matches can only be arranged by agreement with the SASSC rep. While every effort will be made to accommodate these matches they will depend on existing playing conditions and the likely longer-term effects.

7 The car park is available for the hiring organisation and their opponents, supporters and officials. Parking is not permitted on St Audry's Lane, Lodge Farm Road or South Close. Every effort must be made to avoid congestion of the car park. This means a suitable amount of time must be allowed between matches to enable the car park to clear before those involved in any other event arrive.

8 The hiring organisation, supporters and officials are welcome to use the Social Club bar as guests for the day. An agreement may be reached with the hiring organisation to include a set number of memberships of SASSC to cover regular users and individuals are also encouraged to enjoy the benefits of membership for a 12-month period.

9 Regular users are encouraged to assist with the day-to-day operation of the hire, including assisting with the facilities used with the hire, both prior to and after the event. The hiring organisation will be responsible for any damage caused to SASSC property and will be required to pay for any repairs before the next use of the facilities.

10 The hiring organisation must ensure the changing rooms and other facilities are left in the same condition as when they arrive. This means basic cleaning, sweeping up etc. If additional cleaning is required the cost may be passed on to the hiring organisation.

11 SASSC is not responsible for any damage/loss to any articles left on the property, including the car park.

12 In exceptional circumstances SASSC may decide to cancel any booking and no payment for the hire will be required. Any such cancellation will be confirmed in writing.

13 No advertising signs, posters or banners may be displayed at the ground unless there is prior agreement in writing.

14 The hiring organisation is responsible for the behaviour of all their members and visitors. In the event of unacceptable behaviour the SASSC rep may require individuals or groups to leave the premises.

 

Individual use

1 The above conditions will apply except that a deposit of 50% of the fee will be required at the time of booking and full payment will be required 48 hours in advance of any use. In the event of a cancellation the deposit will only be refunded by agreement with the SASSC rep. Full payment will be required in the event of a cancellation by the hirer within 48 hours of the usage.

2 Guests of the hiring organisation will be accepted as members of SASSC for the day, subject to them following SASSC rules.
